Visit of Her Majesty The Queen and His Royal Highness The Duke of Edinburgh, Chancellor of the University, to Cambridge on Thursday, 19 November 2009: Notice

The Vice-Chancellor gives notice to members of the University that Her Majesty The Queen has graciously consented to visit the University on Thursday, 19 November 2009, as part of the 800th Anniversary Celebrations. The Chancellor, His Royal Highness The Duke of Edinburgh, KG, KT, will also be present.

ORDER OF CEREMONY

A ceremony will take place in the Senate-House. Music will be performed in the presence of Her Majesty. Subject to the approval of Grace 1 of 14 October 2009 (p. 66) a Loyal Address to The Sovereign on the occasion of our 800th Anniversary will be presented to Her Majesty The Queen by a Deputation constituted in accordance with the relevant regulations (Statutes and Ordinances, p. 191).

Subject to the approval by the Regent House of the Joint Report of the Council and of the General Board (Reporter, p. 63), and to subsequent assent by Her Majesty The Queen, an Instrument designating the Professorship of Botany as the Regius Professorship will be presented to the University during the ceremony.

Her Majesty will be invited to seal the final box in a set of archive boxes containing 800 'Letters to the Future' written by Vice-Chancellors of partner universities in the United Kingdom and around the world, by members of the University of Cambridge, and by local schoolchildren.

There will be a reception with refreshments after the ceremony for all those attending.

ADMISSION

Admission to the Senate-House and Yard will be strictly by ticket only. The ceremony will take place in the mid-afternoon. Full details will be issued with tickets.

All members and all staff (including retired staff) of the University and the Colleges are invited to apply for tickets to attend the ceremony and reception. In order to allow for the widest possible participation, it is regretted that applications for guest tickets will not be accepted.

Applications for tickets must be made by letter or by email and may not be made in person or by telephone. All applicants must give their full name, current residential address, and clearly state their University and/or College affiliation. Requests for tickets should be sent to The Vice-Chancellor's Office, The Old Schools, Trinity Lane, Cambridge, CB2 1TN or by email ([email protected]).

The deadline for applications is Wednesday, 28 October. If demand exceeds capacity, tickets will be allocated by ballot, and any valid application received before the deadline will be included in the ballot. Tickets will be sent to successful applicants by Wednesday, 11 November. Unsuccessful applications will not be acknowledged. Ticket-holders who subsequently find that they will not be able to attend on 19 November are asked to inform the Vice-Chancellor's Office as soon as possible so that their places can be offered to others.

Tickets will be issued to named individuals and are strictly not transferable. Ticket-holders must expect to bring some form of photographic identification as well as their tickets on the day. Full instructions will be included with the tickets.

DRESS

Members of the University attending the ceremony and reception are required to wear academical dress in accordance with the relevant regulations. By longstanding custom, other persons attending do not wear academical dress. Thursday, 19 November 2009, will be a 'scarlet day' (see the Vice-Chancellor's Notice below), and Doctors in the several Faculties are requested to wear their festal gowns. Graduates are requested to wear hoods on this occasion. In accordance with Regulation 4 for academical dress (Statutes and Ordinances, p. 188), any member of the University (other than the Chancellor, Vice-Chancellor, High Steward, Deputy High Steward, Commissary, Proctors, Registrary, Esquire Bedells, and the Orator), who is a graduate of another university or degree-awarding institution, may, on this occasion, wear the academical dress appropriate to that degree if they prefer.

PROCESSIONS

Two processions will form and then enter the Senate-House. There will be cover in the event of wet weather. In accordance with the regulations concerning processions (Statutes and Ordinances, p. 187), and having consulted the Chancellor and with the assent of the Proctors, the Vice-Chancellor has prescribed the following special order for the first procession prior to this ceremony:

The Vice-Marshal
Heads of Colleges or their Representatives
The Regius Professor of Divinity
The Regius Professor of Civil Law
The Regius Professor of Physic
The Regius Professor of Hebrew
The Regius Professor of Greek
The Regius Professor of Modern History
The Regius Professor of Botany Designate
The Pro-Proctors.

The Chancellor's procession will then form.
